A leading company providing engineering, power and technology solutions in Mlolongo, Nairobi, is seeking a qualified professional to join its team as an Executive Assistant.

Job Summary

The successful candidate will provide high-level executive and administrative support to the Group CEO while also serving as the Secretary to the Group Board and its committees. The role requires excellent organization, attention to detail, initiative and the ability to handle confidential information.

Key Responsibilities

The Executive Assistant will be responsible for:

  • Managing the Group CEO’s calendar, meetings, travel arrangements, correspondence and follow-ups.
  • Preparing reports, presentations, briefing documents and official correspondence.
  • Facilitating communication between the CEO, Board, management and external stakeholders.
  • Creating and coordinating the annual calendars for Board and committee meetings.
  • Preparing meeting notices, agendas, Board packs and committee documentation.
  • Attending Board and committee meetings and producing accurate minutes and resolutions.
  • Maintaining Board records, registers, declarations of interest and governance documentation.
  • Monitoring Board and committee decisions and following up on their implementation.
  • Coordinating committee reports and submissions to the Board.
  • Safeguarding confidential executive and corporate governance information.
  • Supporting Board and committee induction, evaluations, training and annual charter reviews.
  • Undertaking other duties assigned by the Group CEO, Board Chairperson or Committee Chairpersons.

Qualifications & Experience

Applicants should have:

  • A Bachelor’s degree in Business Administration, Law, Corporate Governance, Management, Commerce, Public Administration or a related field.
  • Training in corporate governance, company secretarial practice, Board administration or professional minute writing.
  • A Certified Secretary qualification or Institute of Certified Secretaries membership will be an added advantage.
  • Additional training in corporate law, Board governance and risk management is beneficial.
  • At least 3 years of relevant experience in executive assistance, Board administration, corporate governance or company-secretarial support.
  • Excellent interpersonal and minute-writing abilities.
  • A good understanding of Board governance, committee procedures, quorum, resolutions and conflicts of interest.
  • Advanced skills in Microsoft Word, Excel, PowerPoint, Outlook and Teams.
  • Willingness to travel to client locations when required.
